KinkFest Director — Job Description
The KinkFest Director recruits, selects, and leads the KinkFest Team. The Director sets timelines and deliverables, and works to ensure deadlines are met for all critical aspects of the event. The Director works to maintain efficient and respectful cooperation and communication among all Team members, by means of regular meetings and email, and by creating spreadsheets for schedules and action items.
The Director is also responsible for communication and contractual obligations with the event venue and hotel. Post-event, the Director recaps which aspects were successful and which could use improvement, to provide to the following year’s Team.
General Qualifications:
- Be well organized, able to solve problems and meet deadlines
- Able to work independently, as well also follow directions and work in a team
- Communicate effectively with other Team members and volunteers, including scheduling, instructions, equipment lists, venue needs, etc.
- Able to spend an hour or two every week on KinkFest related work, plus more time closer to the event
- Access to email, Google Drive, and Microsoft Office software
- Able to make 4 to 5 Team meetings between now and KinkFest
- Able to attend KinkFest and to work 16 or more hours on site during the event
- Answer emails within 3 business days (1 business day during the month before KinkFest)
- Be dedicated to making the best event possible for all involved
Duties & Responsibilities
- Meet with event venue and hotel, along with PLA President
- Ensure PLA President signs and returns contracts
- Create KF budget and get PLA board approval
- Work with KF Webmaster to update Registration pricing
- Order event decor: chairs, tables, pipe and drape, carpet, etc.
(Previous vendors: Peter Corvallis and West Coast Event Productions)
- Ensure event supplies are ordered, and work with PLA Executive Committee to do so
- Organize hotel rooms block for KF Team, separate from attendees
- Send hotel list of Team names along with the PLA credit card info to reserve rooms.
- Each team member will need to provide own credit card during hotel check-in to pay for any personal incidental items they may purchase
- Schedule KF Team meetings, approximately every other month
- Check in regularly (monthly) with team members to ensure progress is being made and deadlines are being met
Equipment Needed
- Access to computer and MS Word and Excel software
- Access to Gmail / Google Drive
